Privacy Notice: Support for Summer Internships

This privacy notice is for applicants to the Fusion Industry School Support for Summer Placements. It sets out the ways in which the Fusion Centre for Doctoral Training, University of York, gathers, uses, stores and shares your data. It also sets out how long we keep your data and what rights you have in relation to your data under the UK General Data Protection Regulation (UK GDPR).

For the purposes of this privacy notice, University of York is the Data Controller as defined in the General Data Protection Regulation. We are registered with the Information Commissioner’s Office: University of York Registration. Our registration number is: Z4855807.

Where do we get your data from?

We get the information directly from you when you submit the application form. 

If you are successful, we will collect further information from you necessary to administer the funding i.e. bank details, payment information etc.  At this point, we will ask how long we are able to retain your contact details so we can get feedback from you on the support scheme.

What data do we have?

We collect information about you including your name, email and course you are studying as well as widening participation and special category data about you.

If you are offered funding, we will also collect bank details and other payment information to allow us to administer the scheme.

What is our legal basis for processing your data?

The University needs to collect and retain certain types of data, in various formats, about applicants.

Personal data will be processed:

  • on the grounds of contractual requirement or to take steps to enter into a contract with you;
  • because it is necessary for the performance of a task carried out in the public interest (for information on our public task see our function as set out in our charter);
  •  to allow us to comply with our legal obligations.

Special category data will be processed in line with Article 9 (2) (b) processing necessary for carrying out obligations and rights in the field of employment law. Specifically, we are relying on the positive action provisions in the Equality Act 2010. Positive action is a range of measures allowed under the Equality Act 2010 which can be lawfully taken to encourage and train people from under-represented groups to help them overcome disadvantages in competing with other applicants.

How do we use your data?

The information you provide is used by the Fusion CDT team to process your application and make decisions about who to offer funding to.  

Anonymised information (eligibility criteria without names, email addresses or university) will be shared with the panel deciding who to allocate funding to.  The panel will include individuals from the Fusion CDT team, University of York staff and UK Atomic Energy Authority (UKAEA) staff.  It will not include employers running internship schemes.

Application, special category and widening participation data will also be statistically analysed and used to understand whether the fund is achieving its goals.

If you are successful, information required to administer the fund (i.e. bank details and payment information) will be collected.  This will be shared only with individuals involved in the administration of the fund (please see the University’s General Privacy Notice.)

Who do we share your data with?

If you are successful, we will contact you for additional information (e.g. bank details and payment information) which will only be shared with those required to administer the fund (please see the University’s General Privacy Notice.)
